The biggest mistake I see? Spending time on tasks that could be outsourced instead of focusing on what actually grows your business, career, or life.

Here’s how this usually plays out:

  • You avoid the big, scary tasks that require deep focus or push you out of your comfort zone.
  • You convince yourself you "don’t have time" for strategic work, yet spend hours on low-impact tasks.
  • You mistake “being busy” for “being productive.”

At the end of the day, you’re exhausted—but you haven’t actually made meaningful progress.

So how do you fix this? By getting crystal clear on what actually moves the ball forward.

Step 1: Identify What Really Moves the Needle

Not all tasks are created equal. Some tasks maintain your current level, while others push you closer to your long-term goals.

To determine what truly matters, ask yourself:

  • What are the key actions that create real results in my business or life?
  • Which tasks are keeping me busy but not actually moving me forward?
  • What can I outsource, automate, or eliminate altogether?

Example: A Business Owner’s Breakdown

  • Tasks that move the needle forward: Sales calls, content creation, high-level strategy, networking, product/service development.
  • Tasks that can be outsourced: Social media scheduling, email management, admin work, website updates.

Your time should be spent on the tasks in the first category. Everything else? Find a way to delegate, simplify, or automate.

Action Step: Make a list of everything you do in a typical week. Highlight the top 3-5 things that truly impact your growth. Everything else should be reconsidered.

Step 2: Use Block Scheduling to Take Back Control

Once you know what tasks truly matter, it’s time to create space for them. This is where block scheduling comes in.

What Is Block Scheduling?

Block scheduling is when you dedicate specific blocks of time to specific tasks, instead of jumping from one thing to another all day.

  • 11 AM - 12 PM → Admin Tasks (Emails, Scheduling, Small Tasks)
  • 12 PM - 1 PM → Lunch + Recharge
  • 1 PM - 3 PM → Sales + Growth-Focused Work
  • 3 PM - 4 PM → Learning/Development

This approach eliminates task switching, which kills productivity, and helps you stay fully present in each task.

Instead of bouncing between responding to emails, working on a big project, and checking social media—you batch similar tasks together, so you can work more efficiently.

Instead of thinking "This will take too long," remind yourself:
"This won’t take as long as my brain wants me to believe—I just need to focus on one task at a time."

When you shift your mindset, automate the unnecessary, and block schedule your priorities, you’ll feel more in control of your time than ever before.
